Ordering and getting started

Getting Started With A Certified Translation Order Online

What Exactly Is A Certified Translation In Malaysia, And When Do I Need One?

It is a full translation that carries a signed statement from the translator, the date and a company stamp. Offices such as ICA, embassies, JPN and universities ask for it because they cannot read the original language. If an office says "official" or "certified" translation, this is what they mean.

Who Is Allowed To Do An Official Document Translation In Malaysia?

Malaysia has no government list of sworn translators. Most offices ask for a certified translation from a professional translation company, sometimes with a notary seal added. A few counters, such as JPJ licence conversion, may ask for ITBM or an embassy, and we tell you before you pay if that applies.

Can I Translate My Own Birth Certificate Or Marriage Certificate For A Visa?

Most visa offices do not accept a translation made by the applicant or a family member. They want an independent translator who signs a statement. That is why we sign every translation and add our details.

Is A Phone Photo Enough To Start My Certified Translation, Or Must I Scan It?

A clear phone photo is enough for the quote and the translation. Lay the paper flat, use daylight and include every edge and stamp. If the office later wants a certified true copy, we tell you how to handle the original.

I Am Not Sure Which Office Rule Applies To My Document. Can You Still Help?

Yes. Choose "not sure" in the quote form and tell us where you are applying. We check that office's written rule and tell you if you need a notary or any extra step before you pay.

Can I Order A Certified Translation From Outside Malaysia?

Yes. Customers in Singapore, the UK, Japan and elsewhere order fully online. The signed PDF comes by email, and we can courier the hardcopy to your address abroad.

Do You Translate Documents From Other Countries For Use In Malaysia?

Yes. Foreign spouses, students and workers send us papers for JPN, Immigration, EMGS and employers. We translate them into Malay or English in the format those offices expect.

Price and payment

Translation Price, Payment And Hidden Fee Questions Answered

How Much Does It Cost To Translate A Birth Certificate In Malaysia?

A one-page birth certificate has one of our lowest starting estimates, priced per page. Your exact price depends on the language, any notary seal and courier. You get one fixed price in your free quote before paying anything.

Will There Be Additional Charges After I Accept The Translation Quote?

No. Your quote lists the translation, notary, express and courier on separate lines. The total you accept is the total you pay, unless you ask us to add something new later.

Can You Quote My Translation Both With And Without A Notary Seal?

Yes. If you are unsure whether your office needs a notary, we show both prices side by side. You choose once you know the office rule.

Why Do Some Languages Cost More To Translate Than Malay Or English?

Rare languages need specialist translators, and there are fewer of them. Japanese, Korean, Arabic and European languages also take longer to check. That is why their starting estimate is a little higher.

Do I Pay Before Or After The Translation Is Done?

You pay after you accept the fixed quote, and before the translator starts. This keeps your place in the queue and lets us give you a firm delivery date.

Is The Price The Same If I Live In Sabah, Sarawak Or Johor?

Yes. The translation price is the same in every Malaysian state because we work online. Only the courier fee changes with your address.

Notary, CTC and legalisation

Notary Seal, Certified True Copy And Wisma Putra Doubts

What Is The Difference Between A Certified Translation And A Notarised Translation?

A certified translation is signed and stamped by us. A notarised translation adds the seal of a notary public, a lawyer appointed as a Notary Public by the Attorney General, who confirms the translator's declaration. Some offices, like ICA, ask for the notarised version.

Does Every Certified Translation Need A Notary Seal?

No. USCIS, UK visas, Australia and most universities ask only for a certified translation, with no notary. We only add the seal when your office asks for it, so you do not pay for steps you do not need.

My Office Wants A Certified True Copy As Well As The Translation. Can You Arrange It?

Yes. A notary public signs a certified true copy after seeing your original document. We arrange it in the same order and show it as its own line in your quote.

Do You Need My Original Document If It Already Has A Notary Seal On It?

For the translation, a clear copy is enough, and we translate the existing seal too. For a new notary step, a notary usually wants to see the original or a certified true copy; we tell you before you pay if yours does.

Does Malaysia Issue Apostilles For Documents Going Abroad?

Malaysia does not issue apostilles. Instead, papers go through a chain: notary public, then Wisma Putra (Malaysia's Foreign Ministry), then the embassy of the destination country. We tell you which steps your country needs.

What Is Wisma Putra Attestation, And Do I Need It For My Translation?

Wisma Putra is Malaysia's Foreign Ministry in Putrajaya. It checks the last official seal or signature on a paper, such as a notary's seal, before an embassy adds its own stamp. We translate, arrange the notary seal and prepare the set; you or your helper hand it in at the counter and pay the ministry and embassy fees there.

My Embassy Asked For A "Sworn Translator". What Can I Do In Malaysia?

Malaysia has no sworn translator register, so no one here can offer a true sworn translation. Some embassies take a certified translation with a notary seal instead, but each embassy decides. We help you check what your embassy asks for.

Office acceptance

Acceptance By ICA, Embassies And Visa Offices Explained Clearly

Will ICA Singapore Accept A Certified Translation Made In Malaysia?

ICA takes a translation by the issuing country's embassy, a translation by a notary in Singapore or the issuing country, or a private translation attested by that embassy or notarised by such a notary. A Malaysian notary only fits papers issued in Malaysia. For those, we translate into English and add a Malaysian notary seal.

My ICA Officer Asked If The Translation Is Notarised By A Singapore Notary. Is A Malaysian Notary Fine?

Our seal comes from a notary public in Malaysia. ICA's written rule names a notary in Singapore or in the country that issued the paper, so a Malaysian notary fits papers issued in Malaysia. Please share the exact wording you received, and we check it with you before you pay.

Is Your Certified Translation Accepted By USCIS For A US Green Card?

USCIS wants a full English translation and the translator's signed certification that it is complete and accurate and that the translator is competent to translate. Every translation for USCIS includes that certification, in the format USCIS asks for; USCIS decides. No notary seal is needed.

Will The UK Home Office Accept My Translated Malaysian Documents?

The Home Office asks for an accuracy statement, the date, and the translator's full name, signature and contact details. We include each of these. Your papers are then ready for UKVI or HM Passport Office.

Do Australian Visa Officers Accept Translations Made Outside Australia?

Yes, when you apply from outside Australia. Home Affairs then wants the translator's name, address, phone number and qualifications on the translation. We put all four details on your translation.

Can I Use Your Translation To Register My Marriage At JPN Or A Malaysian Embassy Abroad?

Yes. We translate foreign marriage and birth papers into Malay or English for JPN. We also prepare papers for Malaysian embassies and high commissions abroad, with a notary seal when they ask.

What Happens If An Office Rejects The Translation Because Of Your Mistake?

We fix it for free and send you a new copy. Just share the office's message with us. Only the office decides on your application, but we make sure our part is right.

Speed and delivery

Same-Day Translation, Delivery Time And Courier Questions Answered

How Long Does A Certified Translation Take In Malaysia?

Most short certificates are ready in one to two working days. Longer files, notary seals and Wisma Putra steps take more time. Your quote always shows the exact delivery date.

My Visa Appointment Is Tomorrow. Do You Offer Same-Day Certified Translation?

Yes, same-day service is available for short certificates. Send your file early in the day and mention your deadline. We confirm the delivery time before you pay.

Can I Get The PDF First And The Hardcopy Later?

Yes. The signed PDF is emailed as soon as it is ready, so you can upload it straight away. The hardcopy follows by courier if you ordered one.

Do You Courier The Translated Hardcopy To Singapore?

Yes. We courier hardcopies within Malaysia and to Singapore, and you get a tracking number. Courier fees are shown in your quote.

Do I Need To Visit Your Office To Collect My Translation?

No. We work fully online, so there is no counter to visit. Your PDF arrives by email and the hardcopy comes to your door.

Can You Translate Several Family Documents Together For One Visa Application?

Yes. Upload the whole set in one order. We keep every name spelled the same way, quote the set as one total and deliver everything together.

Languages and special files

Language Pairs, Rare Scripts And Special Document Questions

Which Languages Can You Translate Into English Or Malay?

We cover more than 100 languages in both directions. The most common are Malay, Chinese, Tamil, Arabic, Japanese, Korean, Thai, Vietnamese and Indonesian. Rarer scripts such as Khmer, Russian or Bengali go to specialist translators.

Can You Translate My Malaysian Documents Into Spanish, Polish Or Turkish For An Embassy?

Yes. We translate Malaysian papers out into the native language of the country you are moving to. Tell us the embassy, and we follow its format and any legalisation steps.

Should My Chinese Translation Be In Simplified Or Traditional Characters?

Mainland China uses Simplified characters, while Taiwan and Hong Kong use Traditional. Tell us where the paper is going, and we choose the right script for that office.

Can You Translate A Document With Handwriting, Jawi Text Or Faded Stamps?

Yes. Our translators read handwriting, Jawi lines and old stamps. Anything that cannot be read is marked clearly, so the officer knows it was not skipped.

Privacy and accuracy

Privacy, Name Spelling And Accuracy Concerns Before You Order

Is It Safe To Send My IC, Passport And Bank Statements Online?

Yes. Only the translator on your order opens your files. We keep them on a secure drive and delete them after the job. We never share them with anyone.

My Name Is Spelled Differently On My IC And Passport. Which Spelling Will You Use?

We ask you before we start. Most visa offices want the passport spelling, so we usually follow that. You confirm every name before we sign.

Do You Use Google Translate Or Machine Translation For Official Documents?

No. A human translator writes every line, and a second linguist checks it. Software only helps with spelling and terms, never the translation itself.

Still unsure?
