Vietnamese Translation In Malaysia: Patient Help For Families And Workers, One Paper At A Time

New to Malaysian paperwork? Take a breath. Our Vietnamese translation in Malaysia helps spouses, workers and their families one paper at a time. Khai sinh, marriage and single-status papers become clear English or Malay for JPN, Immigration or ICA. Letters from Malaysian employers become plain Vietnamese. We keep every accent, every red seal and the passport spelling. We also tell you which steps must happen in Vietnam.

Yes. We offer Vietnamese to English translation, and Vietnamese to Malay, for offices in Malaysia and Singapore. Malaysian papers go into Vietnamese too. Each copy is complete, with a signed translator statement, our company chop and a PDF by email. Some stamps can only be added in Vietnam, and we tell you which ones before you pay.

  • Accents kept beside every passport name
  • Red seals and KT. signatures translated
  • Done-here and done-in-Vietnam steps explained
  • Plain Vietnamese for workers and families

Vietnamese Birth Certificate Translation For ICA, Accents Kept Intact

This made-up Vietnamese birth extract shows how our English copy reads. Accented names stay in brackets beside the passport form. The date written in words is translated too, not skipped. The signature block keeps its exact meaning. Officers in Malaysia and Singapore can then match every field with the original, line for line, without guessing.

Vietnamese know-how

Diacritics, Name Order, Dates: Vietnamese Translation Know-How In Malaysia

Vietnamese uses the Latin alphabet, so it looks easy to copy. It is not. One missing accent changes a word, and the name order surprises many Malaysian officers. These six points come up in almost every Vietnamese file we handle. Knowing them helps you check our draft with confidence, even if your English is still growing.

  • Family Name Comes First

In Trần Thị Mẫu, Trần is the family name and Mẫu the given name. We label each part, so forms are filled correctly.

  • Accents The Passport Drops

The passport prints NGUYEN, the khai sinh prints Nguyễn. We use the passport form and add the accented one in brackets.

  • Đ Is Not D

The letter Đ sounds like a D and becomes D in passports. We keep Đ in brackets, so Đức and Dục never mix.

  • Day Before Month

Vietnamese papers write 05/03/1998 for 5 March. We spell the month in words, so nobody reads it as May.

  • Commune, District, Province

Addresses run from xã or phường up to tỉnh. Recent mergers changed many names, so we translate exactly what is printed.

  • Red Seals And Signing Lines

TM. means signing for the committee, and KT. means signing for the chairperson. We translate both, with every red seal.

Bản sao is a certified copy issued from the original register. It is fine to send, and we label it as a copy.

Slow and clear

Patient, Step-By-Step Ordering For Vietnamese Families Across Malaysia

Nobody needs to rush or travel. Families choose our Malaysia certified translation services team because we explain each step slowly, in simple words. A spouse in Johor or a worker in Penang can order from a phone. Family in Vietnam can send photos too. These are the seven steps, and you can ask about any of them.

  1. Step 1

    Take Clear Photos

Photograph each page flat, in daylight, with all four corners and the red seal showing.

  2. Step 2

    Add The Passport Page

We copy the passport spelling, so send the photo page for every person named.

  3. Step 3

    Name Your Office

JPN, Immigration, ICA, an employer or a Vietnamese court. Each needs something slightly different.

  4. Step 4

    Read The Plan

We reply with the price, the date, and any step that must happen in Vietnam.

  5. Step 5

    Translator Starts Work

A translator fluent in Vietnamese writes the copy, keeping every accent and seal.

  6. Step 6

    You Check Names

A second linguist reviews it, then you see the draft and confirm every spelling.

  7. Step 7

    Receive Your PDF

The signed copy arrives by email. Paper copies go by courier within Malaysia or Singapore.

Start with one photo

You pay only after you agree to the price.

Upfront Costs For Certified Vietnamese Translation Done In Malaysia

Most Vietnamese family papers are one or two pages. That keeps the cost low and easy to plan. Company files and long court papers are priced after we see them. Your quote shows each paper, each extra and the final total. Prices are in ringgit, and we never add a charge after you have said yes.

Starting price

RM100

per page, starting price

For one clear certificate page, prices begin at RM100. Long letters, handbooks and court files are quoted once we see them.

What decides your final price

  • Number Of Papers

A couple's set is usually three or four papers. Each page counts once.

  • Old Or Faded Extracts

Handwritten registers and pale seals take longer to read and check carefully.

  • Malay Copy As Well

Adding Malay beside English costs less than a second order, since names are already settled.

  • Worker Letters And Handbooks

Longer HR files going into Vietnamese are priced by word count.

  • Extra Stamp On Request

When an office asks for a notary seal, it costs from RM70 per document.

  • Courier To Singapore

Paper copies across the Causeway cost a little more than local delivery.

In a hurry? Is the visit pass ending soon? A one-page Vietnamese certificate can often be ready the same day if it arrives early. A notary step, when an office asks, adds time, and we confirm it first.

Common Hold-Ups With Vietnamese Spouse And ICA Papers Explained

Vietnamese files are rarely refused for big reasons. They get held up by small ones, like an old date or a missing accent. Below are the hold-ups that Vietnamese spouses and applicants tell us about most often. They come from real customer stories, not an official list. We look for every one of them before your copy is signed.

  • Single-Status Paper Past Six Months

Vietnamese rules give this paper six months from issue. An older one may be refused at the counter.

We point out the issue date early, so family in Vietnam can request a new one in time.

  • Accented Name Not Matching Passport

Nguyễn on one paper and NGUYEN on the passport can look like two people to an officer.

We show the passport form first and the accented form beside it.

  • Old Household Book As Proof

Paper household books lost their legal value in Vietnam in 2023. Some offices now want newer proof.

We still translate the book if you need it, and tell you when a residence confirmation may work better.

  • Consulate Route Mixed With Ours

The Malaysian Consulate in Ho Chi Minh City wants English copies carrying an endorsement from the city's External Relations Department.

We explain that this endorsement happens in Vietnam, and keep our copies for offices in Malaysia.

  • Assuming Any Stamp Suits ICA

ICA's wording names a notary in Singapore or the issuing country. A Vietnam-issued paper may raise questions.

We ask you to confirm with ICA before we arrange any notary step.

  • Day And Month Swapped

Read the American way, 05/03 turns into May. The dates on two papers then stop matching.

We write every month in words, so no officer can misread a date.

Keep the Vietnamese original, our copy and the passport together in one plastic sleeve for each person.

Kind Words From Vietnamese Families, Workers And Malaysian Employers

Vietnamese wives, husbands, students and employers of Vietnamese staff shared notes like these samples. Some were preparing a marriage at JPN. Others had an ICA upload date or a factory notice to send out. What they mention most is patience: clear answers, no rushing and names that finally match. Here is what they told us.

Questions before ordering

Vietnamese Spouses And Workers Ask, Plain Answers From Malaysia

Still not sure?

Send your question with the quote form. A translator replies, not a bot.

Ask your question

Which Spelling Of My Vietnamese Name Goes On The English Copy?

The passport spelling always comes first. Your accented Vietnamese name sits in brackets beside it. Officers then see that both forms belong to one person.

My Fiancée's Vietnamese Single-Status Paper Is Seven Months Old. Will JPN Still Take It?

Probably not. Vietnamese rules give this paper six months from the date of issue. Ask her commune for a fresh one, and we translate it as soon as it arrives.

Will ICA Accept A Vietnamese Birth Certificate Translated And Stamped In Malaysia?

ICA accepts an embassy translation, a notary in Singapore or the issuing country, or a notarised private translation. A Malaysian notary is not named in that list for a Vietnam-issued paper. Please confirm with ICA first, and then we arrange the step you need.

We Are Registering Our Marriage At The Malaysian Consulate In Vietnam. Can Your English Copy Be Used There?

Usually not. The consulate in Ho Chi Minh City asks for English copies carrying an endorsement from the city's Department of External Relations. That endorsement can only happen in Vietnam. Our copies are made for offices in Malaysia and Singapore.

Is My Wife's Old Vietnamese Household Book Still Useful For A Malaysian File?

Sometimes. Vietnam stopped using paper household books in 2023, but some Malaysian offices still accept them as background. We translate the book, and tell you if a newer residence confirmation may be safer.

Can You Put A Warning Letter Into Vietnamese For Our Factory Worker?

Yes. We keep the tone firm but respectful, and we keep your clause numbers. The worker gets a version they can read, and you keep the English for your records.

Our Malay Company Papers Must Go To A Vietnamese Authority. Is A Soft Copy Enough?

For translation, a clear soft copy is enough. Papers for Vietnam are usually notarised, attested by Wisma Putra, then legalised by the Vietnamese Embassy. We explain each step in your quote, and add only the ones you need.

Can I Use Your Vietnamese Translation For The MMC Practising Certificate?

No. The MMC guideline accepts only certain official translators, such as court translators, government agencies or embassy officers. We would rather tell you now than after you pay. We can still help with papers for other offices.

My Divorce Case Is In A Vietnamese Court. Which Papers Can You Translate?

Both directions. We put the Vietnamese decision into English for Malaysian offices, and Malaysian papers into Vietnamese for the court. Papers for the court usually need legalisation, so plan a little extra time.

How Much Is One Vietnamese Birth Certificate, And How Quickly Can I Have It?

A one-page certificate starts from RM100. If it reaches us early, it can often be ready the same day.
