Translation plus Notary Public seal
Notarised Translation In Malaysia: Translation, Declaration And Notary Seal Handled Together
An office abroad has asked for a notarised copy, and you are not sure what that means. Here is what a notarised translation means in plain words. Our translator puts your paper into English, Malay or another language and signs a declaration. A Malaysian Notary Public then confirms who signed and adds a certificate and seal. You order online, see both fees apart and get a PDF first. Paper copies follow by courier.
With a notary public translation, the notary never re-translates or judges your wording. The notary confirms that our named translator signed the accuracy declaration in front of them. Accuracy stays our job, backed by a second linguist check. You receive the translation, the declaration and the notarial certificate with its seal, as a PDF and on paper.
- Notary seal included in the price
- Original needed? We tell you first
- Second linguist checks before anyone signs
- Our mistake? We fix it free
No payment until you say yes to the price.

Three layers, one table
Certified Versus Notarised Copies: Malaysian Translation Routes Compared
Three different steps often get mixed up. A certified translation carries our translator's signed statement and company chop. A notarised one adds a Notary Public's certificate on top of that statement. Wisma Putra attestation and an embassy stamp come later, and only when a foreign office asks. This table shows who signs each layer in Malaysia, what it proves and how long it usually takes.
| What you compare | Certified translation | Notarised translation | Wisma Putra attestation | Embassy stamp |
|---|---|---|---|---|
| Who signs or stamps | Our translator, with our company chop | Our translator first, then a Notary Public with a certificate and seal | An officer of the Ministry of Foreign Affairs in Putrajaya | The consular section of the country the paper is going to |
| What it proves | The translated text is complete and accurate | The named translator really signed the declaration | The seal or signature on the paper is genuine | The Wisma Putra stamp is genuine, for use in that country |
| Who usually asks | USCIS, UK visas, Australia and many schools | ICA Singapore, some universities, and banks or brokers abroad | Embassies of China, Korea, the Gulf states and others | The same embassies, as the final step |
| Original paper needed? | No, a clear scan works | Usually the original or a certified true copy | Often the original, or a copy checked by a notary | The paper that already carries Wisma Putra's stamp |
| Usual time | One to two working days | Often two or three working days | Set by Wisma Putra's own queue | Set by each embassy |
| Who handles it | We do | We do, together with a notary we work with | You or your agent, after our part is done | You or your agent, after Wisma Putra |
Few files need every layer. Your office's letter tells you how far down this table you need to go.
Who asks for the seal
Consulates And Agencies Asking For Notarised Translations From Malaysia
Most notary orders begin with one short line in an office's letter. ICA Singapore, a Chinese visa centre, a Gulf employer or a university abroad may have written it. Each one words the rule a little differently. Pick the office that wrote to you. You will see what it usually asks for and what we hand over. Please read its latest list as well.

What the notary adds
Sample Notarial Certificate Attached To A Malaysian Translated Document
This preview uses an invented SPM certificate to show a finished set. The left page is our English translation, field by field. The right page shows typical wording a notary uses on the certificate. Real wording changes from one notary to the next. Notice that the notary speaks about the translator's signature, never about your exam grades or the facts in your paper.

One clear starting price
One Malaysian Price Covering Translation And The Notary Seal
Prices start at RM150 for a single-page document, all-in. That is a certified translation from RM80 plus a notary seal from RM70. Our translator translates and signs the declaration. A Malaysian Notary Public then adds the certificate and seal. Longer papers, rare languages or extra copies raise the total. Your quote shows the full amount before you pay. Ask, and we also quote the plain certified version.

RM150 is the all-in starting price for one clear one-page document: certified translation from RM80 plus notary seal from RM70. Extra pages, extra copies and courier are added only when your office needs them. Any Wisma Putra or embassy fee is paid by you at that counter.

Information To Have Ready Before Ordering A Notarized Translation
A notary step adds one more person to the chain, so small gaps cost more time. Gather these six things before you send your order. They let us match your office's wording on the first try. Customers anywhere in Malaysia or overseas send them the same way, by phone photo and email. If the notary must see your original, we tell you before you pay.
Only need a certified true copy? The notary must then see the original, so plan to post it or make a short visit.
Every Page, Both Sides
Back pages often carry stamps or notes the office expects to see translated.
The Office's Exact Wording
Copy the sentence that says notarised, certified or attested. These words mean different things.
Passport Name Spelling
We match every name to the passport before the translator signs.
Which Copy Gets The Seal
Some offices want it on the original-language copy, others on the English one.
The Step After The Notary
Tell us if Wisma Putra or an embassy comes next, so the set suits that counter.
Delivery Address And Deadline
PDF only, or paper too? Give the real date and the courier address.

Notarisation Slip-Ups That Get Translated Papers Sent Back
Most notary orders that go wrong fail for the same few reasons. We hear about them from customers who came to us after a first try elsewhere. They do not come from any official list. Each one can cost a week or more, and sometimes a second notary fee. Here is what goes wrong and how we stop it happening to you.
-
Paying For A Seal Nobody Asked For
USCIS, UK and Australian visas usually accept a certified translation. The notary fee is then wasted.
We read your office's rule first, and quote both ways when it is unclear.
-
A Notary When An Oath Was Needed
A Malaysian court or local form may want a Commissioner for Oaths. A notarial certificate may not suit it.
We match the exact words on the form before we choose the route.
-
Home-Made Translation Sent For Sealing
The notary seals a translator's declaration, so a version you typed yourself has nobody to stand behind it.
Our translator checks every line and signs only for text our team produced.
-
The Seal On The Wrong Copy
The office wanted the seal on the Arabic or Malay copy, but it went on the English one.
We ask which copy gets the seal before we book the notary.
-
Names Spelled Three Different Ways
The birth record, IC and passport show different spellings, and the officer queries it.
We follow the passport and add a short note for any real difference.
-
Forgetting The Next Legalisation Step
Some embassies, such as China's, need the Ministry of Foreign Affairs stamp after the notary.
We tell you upfront whenever Wisma Putra or an embassy comes next.
Had a notarised set returned? Forward the office's reply to us. We explain what to change before you pay for anything again.

Seal-Day Stories From Notarised Translation Customers Across Malaysia
Short deadlines and confusing letters run through every story below. Some writers were Malaysians heading to Singapore, China or the Gulf. Others were foreigners living here whose papers came from France, Brazil or the Netherlands. Each one shows a kind of case we handle often, with personal details removed. None of them knew where to start before writing to us.

Notary Seal Doubts Settled For Customers Sending Papers Abroad
Still not sure?
Send your question with the quote form. A translator replies, not a bot.
Ask your question
When An Office Says Notarised, Does A Notary Public Stamp My Actual SPM Certificate?
Not quite. The notary attaches a certificate to our translation and the translator's declaration. Your original certificate stays untouched. Only a certified true copy means the notary marks a copy of your original.
ICA Mentions A Singapore Notary And SAL. Can A Malaysian Notary Still Work For My PR Papers?
ICA lists a notary in Singapore or in the country that issued the paper. For papers issued here, a Malaysian notary fits that wording. SAL checks belong to the Singapore notary route, so we do not arrange them. If your officer insists on SAL, tell us before you order.
Can You Show Me One Quote With The Notary Seal And One Without It?
Yes, side by side on the same page. Many customers are still waiting for their office to reply. You choose one total once you know.
Does The Notary Need To See My Original Passport, Or Will A Scan Do?
A notary usually wants to see the original or a certified true copy; we tell you before you pay if yours does. If your original must travel, you can courier it, and it comes back by tracked courier.
My Form Says Public Notary Or Commissioner For Oaths. Which One Should I Pick?
Look at where the paper will be used. Under the Notaries Public Act 1959, notaries take declarations mainly for use outside Malaysia. Papers for a Malaysian court usually go to a Commissioner for Oaths. Send us the form, and we read the wording with you.
I Live Overseas. Can The Whole Notarised Order Happen Without Me Coming To Malaysia?
Usually yes. You email scans, approve the draft and pay online, while our translator signs before the notary. If the notary must see your original, we say so before you pay. The sealed PDF reaches you by email, and paper copies go by courier.
Can Your Notary Witness My Own Signature On A Foreign Bank Affidavit?
That is a separate notary job, not part of a translation. The notary must see you and your ID, so you usually need to attend in person. We can still translate the papers around it and point you to the right step.
Will An American, British Or Australian Visa Officer Want The Notary Seal At All?
Usually not. USCIS asks for a signed translator certification, UK visas ask for a translator's confirmation, and Australia asks for the translator's details. A certified translation normally covers these, so you save the notary fee. Check your own checklist to be sure.
My Chinese Visa Centre Wants It Notarised. Do I Still Need Wisma Putra After The Notary?
Usually yes. The Chinese visa centre in Malaysia describes three stages: a Malaysian notary, the Ministry of Foreign Affairs, then the Chinese Embassy. It also asks for a recognised Chinese translation, so ask us first who should translate. Some civil records may skip the notary and go to the Ministry as certified copies.
Can A Notarised Set Be Ready By Tomorrow Morning?
Often, if you send the scan early and the notary has a free slot. Tell us your exact deadline before paying. If we cannot make it, we say so honestly.
