Family File Rules: ICA Requirements For Malaysian Documents Translation

ICA has a short, clear rule on papers that are not in English. Your family file needs the original and an official English copy of each one. ICA also lists who may make that copy. Here we set each ICA rule beside what we do for Malaysian families. Please read your own ICA checklist too, because each pass has its own list.

  1. 01English for each paper

    What ICA asks

ICA wants an official translation of every document that is not in English. The original goes in too.

    What we do

We translate each Malay page in full. Your original and our English copy then travel together.

  2. 02Listed translation routes

    What ICA asks

ICA accepts an embassy translation, a notary's translation, or a private translation attested or notarised.

    What we do

We make the private translation. If your file needs it, we book the notary step for you.

  3. 03Issuing country rule

    What ICA asks

ICA names a notary in Singapore or in the country that issued the paper.

    What we do

Your papers come from Malaysia, so we use a notary public here in Malaysia.

  4. 04No endorsed companies

    What ICA asks

ICA says it does not endorse any private translation company.

    What we do

So we never claim ICA approval. We simply follow the route ICA lists.

  5. 05Complete files only

    What ICA asks

ICA says missing papers may lead to non-acceptance of the application.

    What we do

We check your list first and tell you which papers still need English.

  6. 06More papers may follow

    What ICA asks

ICA may ask for extra documents after you apply.

    What we do

Send us the new request. We match the same name spellings as before.

ICA rules can change. Always check the latest checklist in your ICA account before you upload.

Each card links to the full page for that paper.

Family Pricing For Malaysian Documents Translation For Singapore Citizenship

One certificate costs little, and a whole family set costs more. Here is the starting estimate, the extras an ICA file may need and the usual timing. Your quote lists every fee on its own line, so nothing is hidden. Prices are in ringgit, because all our translation work is done in Malaysia.

Starting price

RM80

per page, starting price

RM80 is a rough starting figure for one clear page, not your final price. The notary seal and courier are separate lines, added only when your file needs them.

What decides your final price

  • People In The File

Just you, or a spouse, children and parents too? Each paper is counted.

  • Back Pages And Stamps

JPN back pages with notes or stamps count as extra pages.

  • Script On The Page

Malay costs least. Jawi, Chinese or Tamil text costs a little more.

  • Seal For ICA

A notary seal for ICA costs from RM70 per document.

  • Faded Or Handwritten Copies

Older JPN copies need slower reading, so they may cost a little more.

  • Deadline And Delivery

Rush work costs extra. Courier to Singapore costs more than within Malaysia.

In a hurry? Is your ICA upload date close? A one-page certificate can often be emailed the same day if you send it early. A notary step may add time, and we tell you before you pay.

Ready in five minutes

Applicant Details To Prepare For Singapore PR Document Translation

Your passports and ICA list turn your order into a quick, clean job. The other details take only a minute to note down. Have them ready before you upload, and your Singapore PR document translation needs no follow-up questions. Families anywhere in Malaysia or Singapore send them the same way, by phone photo and email.

Applying as a family? Send everyone's papers together. One translator then keeps every surname the same.

  • Every Page, Front And Back

JPN certificates often hide notes or stamps on the back. Snap both sides.

  • Each Person's Passport Name Page

We copy each passport spelling, including bin, binti, a/l and a/p.

  • Your ICA Document Checklist

Paste or screenshot the list, so we translate only what ICA asks for.

  • Which Pass Each Person Needs

PR, citizenship, LTVP or Student's Pass. It decides the paper set.

  • The Upload Or Appointment Date

Tell us the real date. We plan the PDFs and any notary step around it.

  • Where Paper Copies Should Go

PDF by email is standard. Add a Malaysian or Singapore address for couriered copies.

Avoid a returned file

Returned Files: Why ICA Rejected My Malaysian Document Translation

Most returned ICA files trip on simple, avoidable things. These are the reasons Malaysian applicants tell us about most often. They come from customer stories, not from an official ICA list. Each one costs weeks of waiting, so we check for all six before your English copies are signed. Your file then goes in right the first time.

  • Hospital Notice Sent, Not JPN

The hospital birth notice is not the registered certificate. ICA wants the JPN birth certificate instead.

We look at every paper first. We tell you early if the JPN certificate is missing.

  • Name Differs From The Passport

A name spelled one way on the birth record and another on the passport raises questions.

We follow the passport spelling and add a short note for any real difference.

  • Stamps And Jawi Left Out

Some translations skip JPN seals, margin notes or Jawi lines. The officer then sees gaps.

We translate every stamp, side note and Jawi line, and mark where each sits.

  • Only A Few Words Translated

A copy that explains only some Malay words is not a full translation.

We always translate the whole page, so the English copy mirrors the original.

  • Self-Made Or App Translation

A translation you make yourself, or from an app, is not on ICA's list of routes.

Our translator signs a formal statement, and the notary step follows when needed.

  • Private Copy With No Seal

ICA lists private translations only when attested or notarised. A plain private copy may come back.

We tell you about this step before you pay. We then arrange the notary for you.

Already had a file returned? Send us ICA's message with the paper. We show you what to change.

Mixed families welcome

Spouse And Parent Papers For ICA In 100+ Languages

Many families who move to Singapore mix nationalities. A Malaysian applicant may have a Vietnamese wife or an Indonesian mother. We translate papers from more than 100 languages into English for the same ICA file. Doubts families ask us

Citizenship Papers And PR Doubts On ICA Translation Answered

Still not sure?

Send your question with the quote form. A translator replies, not a bot.

Ask your question

Must My ICA PR Papers Be Stamped In Singapore And Checked By SAL?

ICA accepts a notary public in Singapore or in the country that issued the paper. Your papers come from Malaysia, so a Malaysian notary fits that wording. SAL authentication is a Singapore notary step, so we do not arrange it. If your officer asks for SAL anyway, tell us before you order.

Is ICA Going To List Your Company As An Approved Translator?

No. ICA says it does not endorse any private translation company. It looks at the route instead: embassy, notary, or a private translation notarised or attested. We make the translation and arrange the notary step on request.

My Parents Need An LTVP. Must Their ICs Be Translated Along With Their Birth Certificates?

Your ICA checklist for that LTVP decides it. If the IC is listed and has Malay text on it, we translate it too. If it is not listed, you save that cost.

Which Divorce Paper Should I Send To ICA For My Singapore PR File?

Send the papers your ICA checklist names. Civil divorces usually have a decree, and Muslim divorces have a sijil cerai or Syariah court order. Show us what you hold, and we tell you which ones need English.

Can You Translate Only A Few Malay Words On My Birth Certificate For ICA?

We do not advise it. ICA expects a full translation of each non-English paper. A partial copy can lead to questions, so we translate the whole page, stamps included.

My Marriage Certificate For ICA Is Written In Jawi. Can You Still Help?

Yes. Our translators read Jawi and old kadi stamps often. Every line goes into English, and any truly unreadable word is marked as unclear.

Is The Seal Fee For My ICA File Shown In The Quote, Or Added Later?

It is shown in the quote, on its own line. The translation, the notary seal and any courier are listed separately. The whole total is clear before you pay anything.

Can I Upload The PDF To ICA While The Paper Copies Travel To Singapore?

Yes. The signed PDF reaches your email first, ready for upload. Paper copies follow by courier to your Singapore or Malaysian address if you need them.

My Wife's Birth Certificate Is From Vietnam. Will A Seal Done In Malaysia Work For ICA?

Maybe not. ICA's notary rule names Singapore or the country that issued the paper, and here that is Vietnam. We can still translate it, then you use a Singapore notary or that embassy's route. Ask us first, and we explain the options.

My Child's Student's Pass Needs A Birth Certificate In English. Is The JPN Copy Enough For ICA?

Send the JPN birth certificate, not the hospital notice. ICA wants the official record, plus an English copy through a listed route. We translate it with your child's passport spelling.
